Job Description

The Fulfillment Specialist is a production-driven role within OneDigital’s Client Advocate Center’s BenAdmin division, and reports to the Fulfillment Manager. This person processes requests coming from the Zenefits BenConnect platform by executing eligibility tasks and member level changes with carriers, and ensuring timely execution and compliance with company policy and applicable federal/state law. They will adhere to efficiency standards and drive results from carriers to hold them accountable for meeting established deadlines. They may also handle other ancillary requests including but not limited to address changes, ID card requests, summary of benefits requests, rate questions, etc. The Fulfillment Specialist will also troubleshoot and correct enrollment discrepancies and assist in post-open enrollment quality audits.

Responsibilities Include:

Provide outstanding and timely client service to internal/external customers. Activities will include but are not limited to:

  • Submitting member-level eligibility to carriers (this is a high-volume, production-driven environment).
  • Processing of group enrollment forms, change forms and ancillary requests.
  • Following up with the carrier to obtain status updates.
  • Thorough documentation of all calls/emails, work effort and related resolution in the group service tickets in OneDigital’s CRM system.
  • Scrubbing paper applications (if required) to ensure data fields have mapped and are legible and complete.
  • Provide back up support to the regular CAC team, including in the areas of claims and billing issues/resolution and escalated concerns, and by providing client phone support as needed to ensure smooth departmental operations.
  • Ensure the protection and security of a consumer’s personal, confidential and identifiable information in a professional and responsible manner, according to the standards and requirements of the Health Insurance Portability and Accountability Act (HIPAA)
  • Re-certify HIPAA compliance certificate annually or as directed by management.
  • Troubleshooting the Zenefits platform to research and resolve enrollment discrepancies.
  • Escalating known issues to the Zenefits engineering team and following up to ensure resolution.
  • Working with consultants to ensure group issues are addressed and resolved satisfactorily, and any items jeopardizing client retention are promptly brought to the attention of management.
  • Other duties as requested or assigned.

  • Knowledge of Dynamics CRM
  • Ability to work any shift between the hours of 8am-8pm EST Monday-Friday with occasional overtime, especially at month end as required to process closing of client open enrollment windows.
  • Spanish proficiency a plus.
