Job Description

The Wikimedia Foundation is the nonprofit organization that supports Wikipedia. The Payments & Fundraising Operations Department works to manage opportunities in the donation process while preserving Wikimedia’s mission and enabling stakeholders (donors, partners, Fundraising team, Wikipedia community and supporters) to have efficient channels to collaborate, fundraise, engage with donors and readers and reward community of supporters. The Fundraising Operations Assistant will provide support to the Fundraising team by helping optimize efficiency and provide the infrastructure and data the team needs for informed decisions. This is a long-term hourly contract position.

Scope of Work:

Work with Internal Fundraising teams to provide Operational Assistance to different processes, from Donor Support and Major Gifts, to Email and the Wikipedia Store.

These tasks will be around:

  • Updating critical tracking spreadsheets and Finance reports
  • Deduping CRM system from duplicate entries including generating & deploying queries
  • Update processes and documentation in internal tools like Collab and Meta pages
  • Maintaining reconciliation documents, including handling inputs from different sources

Become proficient with our tools (Zendesk, CiviCRM, Gmail and multiple payment service provider portals) to:

  • Process donation batch refunds and operational changes within these tools
  • Update Zendesk Macros & translations
  • Organize and segment emails for easier processing

Support the Email and Banner campaigns teams by:

  • Qualitative Analysis of survey responses
  • Updating and maintaining Fundraising campaign results tracking sheets
  • Providing periodic summaries or reports of recent test results from email and banner campaigns

Potentially help the Donor Services team to:

  • Respond to incoming emails and calls from donors, answering and resolving a wide range of inquiries and questions
  • Become familiar with the WMF knowledge base, use categorization systems to prioritize and tag tickets based on needed data (donation issues, payment methods, country, language, etc.)

Skill Requirements

We are hoping to find a candidate with the following skills/experience:

  • Commitment to providing the highest level of customer support internally and externally
  • Consistently detail-oriented, with a high degree of English language proficiency
  • Data entry and basic analysis
  • Experience with Excel and Google Documents spreadsheets
  • Experience managing data in a large CRM is a plus
  • Organized, efficient and able to meet deadlines
