The Role

Proofpoint is seeking a highly organized individual to join the Professional Services Operations team. As an Operations Coordinator, you will be responsible for coordinating logistics and resources for projects within the Professional Services and Technical Training departments. The ideal candidate will have strong organizational skills and high attention to detail with the ability to multi-task and manage the dynamic schedules of customers and team members. Your day-to-day:

  • Be the first point of contact for customers who have purchased Professional Services and Training from Proofpoint
  • Coordinate with consultants and customers to schedule Professional Services, Technical Training and Partner engagements
  • Maintain the Professional Services and Technical Training team schedule to balance timely customer responses, SLAs and consultant utilization
  • Use Outlook, Salesforce, ServiceCloud and CloudCoach software to ensure proper tracking, scheduling, and communication for customer engagements
  • Coordinate logistics for customer and employee training events
  • Use Excel and Salesforce to create weekly and ad hoc reporting of key departmental metrics
  • Review and reconcile data to ensure accurate reporting
  • Work with Practice Managers to coordinate meetings with escalated customers
  • Work with Sales team to re-engage cold customers

Skill Requirements

  • 2-year college degree (4-year preferred) and 3+ years’ work experience
  • Strong office application skills (Outlook, PowerPoint, Word, Excel, Visio etc.)
  • Experience with using and troubleshooting Excel spreadsheets and charts
  • Familiarity with web conferencing, customer relationship management (CRM) and Professional Services Automation (PSA) applications is a plus.
  • Superior customer service skills
  • Excellent written and oral communication skills
  • Superior time management and prioritization skills
  • Proactive attitude with a focus on quality and efficiency of services
  • Previous experience working in an administrative function supporting a Sales, Training or Professional Services organization preferred
  • Self-starter with interest in business process management, project management and/or analytics is a plus
